The Enlistment Masterlist gives you the full list of patients registered to your facility. Alongside each patient, it shows you whether their FPE was done, whether it was already submitted, and the transmittal number it went out under.

Use it when you want to see where everything stands without opening records one by one.

What you'll see on the list

  • PIN — the patient's PhilHealth Identification Number. A checkmark beside it means the patient is found in your masterlist.
  • Last Name, First Name, M.I., Sex, DOB — the patient's basic details.
  • Patient Type — whether the patient is a member or a dependent.
  • Mobile Number — the contact number on the patient's record.
  • Enlistment Date — the date the patient was enlisted to your facility.
  • YES (MCA) — whether the Yakap Empanelment Slip / Mutual Care Agreement is recorded.
  • FPE Date — the date of the patient's first patient encounter. A dash means there's no FPE recorded for them yet.
  • Submitted — whether that FPE has been transmitted. Yes or No.
  • Transmittal No. — the reference for a submitted FPE. A dash means nothing has been transmitted for that patient yet.

At the top of the list, Total Enlisted shows how many patients are in your current view.

The checkmark beside the PIN

Patients with a checkmark beside their PIN are the ones found inside your masterlist.

No checkmark means that patient is not in your masterlist yet. When you see this:

  1. Check that the patient is registered to your facility.
  2. Run an import over a date range that covers their enlistment date.

This is a different checkmark from the green check beside a patient's name in Daily Visit. That one means the patient is registered and already imported from your masterlist.

The Transmittal No. is your proof of submission

When an FPE has been transmitted, its transmittal number appears on this list. That number is what PhilHealth uses to trace the submission, so pull it up first whenever you're following up on a claim.

If Submitted says No and Transmittal No. shows a dash, that FPE hasn't gone out yet.

Filtering and searching

  1. Set the Enlistment Year and Enlistment Month to review one period at a time.
  2. Sort by FPE Date to group the patients who already have an FPE recorded.
  3. Use the filters on the PIN, FPE Date, and Submitted column headers to narrow the list further.
  4. Looking for one patient? Use Search by Name or PIN, then click Clear Filter when you're done.

Getting a copy of the list

  • Download CSV saves the list you're currently viewing, filters included.
  • Print List gives you a hard copy.

A good habit: run this at the end of the month before you reconcile with PhilHealth. It's the fastest way to catch a patient whose FPE never got transmitted.

One thing to note

This works best for patients encoded here in the system. Imported records are handled differently for now, so their FPE Date may not show up on this list yet. We're working on that.
